Reports to:    Director of Estimating & Director of Project Administration

 

Broad Goals:

  • Provide preconstruction support services to project team members including estimators, project management, marketing, and bidding subcontractors.
  • Subcontractor service – facilitate timely information flow to and from subcontractors.
  • Work with Director of Project Administration to maintain Subcontractor Database.
  • Work with Director of Project Administration to facilitate efficient transitions of projects from estimating to project management.
  • Work with Director of Preconstruction to maintain the Unanet CRM Database.
  • Maximize subcontractor response to bid requests.
  • Prepare bid documents for submission to the owner.

 

Responsibilities:

Information Processing – Accurate and timely distribution of bidding documents. Post plans, specifications, addenda and clarifications to Pantera. Update subcontractor information as it becomes available.

 

Team Support – Timely handle or facilitate the compilation, format, and assembly of bid/RFP response documents and other tasks as directed by the project pursuit team. Proactively call subcontractors to seek a commitment to bid on projects. Set up and maintain electronic and physical hard copy activity files as needed. Prepare and distribute weekly estimating meeting log.

 

Other Responsibilities – Comply with all company defined standards and procedures and encourage compliance by our client’s team members. Procure office supplies.

Provide backup administrative support. Assist in signing employees up for events. Schedule and coordinate educational opportunities (lunch & learns). Participate in the company’s strategic initiatives as may be requested from time to time.

Job Requirements

  • General familiarity with Microsoft Word, Excel, and Outlook.
  • Ability and willingness to learn bidding software (Pantera), Bluebeam/Acrobat, Unanet CRM, and the basics of Access.
  • Strong organizational and communications skills.
  • Ability to prioritize tasks and follow through to completion.
  • Professional character, self-motivated, ability to work with minimal supervision.
  • General understanding of project management software and/or construction a plus.
